The Database Maintenance page allows administrators to review database storage information, shrink the WebReports database, and import data from another WebReports database.
Important: Database maintenance and import operations can affect WebReports data and availability. Create a current database backup before performing either operation.
Open the Database Maintenance page
- Sign in to WebReports with an administrator account.
- Select Configuration.
- Select Database.
The page displays the current database size and space-usage information.

Review database storage
Use the database size and space-usage information to monitor database growth and determine whether maintenance may be required.
If the database is approaching its available storage limit, review report retention, scheduler history, statistics retention, and logging-cleanup settings before performing maintenance.
Shrink the database
Shrinking the database may reclaim unused database space after a significant amount of data has been removed.
Before starting:
- Create a current database backup.
- Confirm that no other database maintenance is running.
- Schedule the operation during a period of low WebReports activity.
- Consult your database administrator if you are unsure whether shrinking is appropriate.
To begin the operation, select Shrink Database.
Important: Selecting Shrink Database immediately starts the operation. WebReports does not display a confirmation prompt.
When the operation finishes successfully, WebReports displays a confirmation message.
Avoid shrinking the database as routine maintenance. If the database repeatedly grows and requires shrinking, review its retention settings and storage requirements with your database administrator.
Open the data-import dialog
Select Import WebReports Data to open the import dialog.
Opening the dialog does not begin the import. The operation starts only after the required source information has been entered and Import WebReports Data is selected within the dialog.

Enter the source database information
Provide the following information:
- Source Database Unique ID — Enter the unique identifier for the source WebReports database.
- Source Database Type — Select the database platform used by the source database.
- Source Connection String — Enter the connection string WebReports will use to access the source database.
Supported source database types are:
- MSSQL
- MySQL
- Oracle
Database platforms supported by the WebReports data-import process.
Important: A database connection string may contain usernames, passwords, server names, and other sensitive information. Never include an active connection string in documentation, screenshots, email, or support tickets.
Select data to import
Select each data category that you want to import from the source WebReports database.
Some dependencies are selected automatically and displayed in gray. These items are required by one or more selected categories and cannot be cleared unless the related selections are changed.
Review all selected categories and dependencies before beginning the import.
Import the WebReports data
Before importing:
- Create a current backup of the destination WebReports database.
- Verify the source database unique ID, type, and connection string.
- Confirm that the source database is compatible with the destination environment.
- Review every selected category and automatically included dependency.
- Perform the import during a scheduled maintenance period when possible.
When you are ready, select Import WebReports Data within the dialog.
Important: Do not close WebReports, restart the application, or interrupt database connectivity while the import is running.
After the operation completes, review the imported data and test the affected WebReports features.
If the import fails or produces unexpected results, record the displayed error and contact BridgeWorks Support before attempting the import again.
