WebReports uses the email profile to send scheduled-job notifications, report status messages, user invitations, password-reset messages, and account-recovery emails.
Open the Email Profile page
- Sign in to WebReports with an administrator account.
- Select Configuration.
- Select Email.
Configure the email profile
Enter the following information:
- Enable SSL — Enables an encrypted connection to the email server. Select this option when required by your email provider.
- SMTP server — Enter the hostname of the outgoing email server.
- Port — Enter the port used by the outgoing email server.
- Username — Enter the username WebReports will use to authenticate with the email server.
- Password — Enter the password associated with the email account.
- From email address — Enter the address that will appear as the sender of WebReports emails.
Your email provider or network administrator can supply the required SMTP settings.
Important: Do not include passwords, authentication credentials, or other sensitive email settings in screenshots or support requests.

Save the email profile
Select Update to save the email settings.
A Registered indicator appears beside the page title when an email profile has been configured.
Send a test email
After saving the email profile:
- Select Send Test Email.
- When the Test Email confirmation appears, select Yes.
Confirmation displayed before WebReports sends a test email.
- Check the email address associated with your signed-in WebReports account for the test message.
Select No to close the confirmation without sending an email.
If the message does not arrive:
- Verify the SMTP server and port.
- Confirm that the correct SSL option is selected.
- Verify the username, password, and sender address.
- Check the recipient’s junk or spam folder.
- Confirm that the email server permits SMTP connections from the WebReports server.
Customize system emails
The Email Profile page also contains templates for:
- User invitations
- Password-reset requests
- Forgotten-username requests
