Article Goal
Learn how to access, review, manage, and download completed reports in WebReports.
What are Completed Reports?
The Completed page stores reports that have been executed through either the Download or Queue options within WebReports.
Completed Reports allow users to:
- Review previously executed reports
- Download report output files
- View the parameters used during execution
- Preview report results
- Re-execute reports
- Manage report history
This allows users to access report results without having to repeatedly execute the same report.
Accessing Completed Reports
- Sign in to WebReports.
- Select Reports from the navigation menu.
- Click Completed.
Understanding the Completed Page
The Completed page displays reports that have been generated by users and are available for review or download.
Each report remains available until its expiration date is reached or the report is manually removed.
Report Information
The Completed page includes the following information:
| Column | Description |
|---|---|
| User Name | The user who executed the report. |
| Role Name | The role assigned to the user when the report was executed. |
| Report | The report that was executed. |
| Connection Profile | The database connection used during execution. |
| Creation | The date and time the report was generated. |
| Expiration | The date and time the report will be removed from the Completed page. |
| File | The file format generated during execution. |
Available Commands
After selecting a completed report, several actions become available.
| Command | Description |
|---|---|
| Download | Downloads the selected completed report. |
| Preview | Opens a preview of the selected report output. |
| Parameters | Displays the parameters used when the report was executed. |
| Re-Execute | Executes the selected report again using the current report definition. |
| Delete Selected | Removes the selected report from the Completed page. |
Available Output Types
Depending on how the report was designed, the following output types may be available:
| Output Type | Description |
|---|---|
| Detail Grid | Displays the detailed report results. |
| Summary Grid | Displays summarized or aggregated report results. |
| Finished Report | Displays the formatted report output. |
| Visualize | Displays available charts, dashboards, or visualizations. |
Viewing Report Parameters
Selecting Parameters allows users to review the values used when the report was executed.
This can be useful for:
- Verifying report criteria
- Reproducing report results
- Troubleshooting unexpected results
- Auditing report activity
Re-Executing Reports
Selecting Re-Execute will run the report again using the current report definition.
This can be useful when:
- Data has changed since the original execution
- A refreshed report is required
- A report needs to be regenerated
Queue vs Download
Both the Queue and Download options store report results within the Completed page.
| Action | Description |
|---|---|
| Download | Executes the report and immediately generates the selected file format. |
| Queue | Executes the report and stores the results for review and export later. |
When Should I Use Download?
Use Download when you already know the file format you need and only require a single export.
When Should I Use Queue?
Use Queue when you may need to review the results or export the report into multiple formats without running the report again.
Tip: Using Queue can reduce database activity by allowing a report to be executed once and exported multiple times from the Completed page.
Best Practices
- Review report parameters before distributing report output.
- Use Queue when multiple export formats may be required.
- Periodically remove reports that are no longer needed.
- Verify expiration dates when reports need to remain available for future download.
- Re-execute reports when updated data is required.
