Adding Export File Names and Paths to Execution Emails

Include an exported report’s filename, folder location, or full path in a Scheduler execution email. VDM replaces the selected placeholders with the corresponding export information when the execution runs.

These values appear as text in the email. Inserting them does not create a download link or attach the report.

Open the Execution Email Settings

1. Open Scheduler, select Job, and open your saved job.
2. Select the view and execution you want to edit.
3. Click Edit (Wizard).
4. Confirm the required export is enabled and configure its format and output location. This example uses a Finished Report exported as PDF.
5. Continue to Email and Alerts Options.
6. Select Enable Email Delivery, choose your Email Delivery Profile, and enter the recipient and subject.

Insert File Information

1. Click in the Body field where you want the file information to appear.
2. Right-click to open the insertion menu.
3. Select the export type and format that match your execution. For this example, select Finished Report > PDF.
4. Select Full Name, File Path, or File Name.

Select the information to insert from the Finished Report > PDF menu.

The following examples use a report saved as C:\Demo\Reports\DailySalesReport.pdf.

Choose only the information you need. You can repeat these steps to insert more than one value.

Review the Email Body

VDM inserts a placeholder into the body for each selection. For a Finished Report PDF, the placeholders are:

• Full Name: FR.PDF.FullName
• File Path: FR.PDF.FilePath
• File Name: FR.PDF.FileName

Add your message around the placeholders and place each value on its own line if desired. Leave the placeholder text unchanged so VDM can replace it with the export information.

The email body contains all three placeholders for this example.

Leave Attach File unchecked to send the email without the report attached. Select Attach File if you also want to include the exported report as an attachment.

Save and Verify

1. Click Next and complete the remaining wizard steps.
2. Save the job.
3. Run a test using your usual Scheduler workflow.
4. Open the received email and confirm that the placeholders have been replaced with the expected file information.

The received email displays the full name, folder path, and filename. This example has no attachment.

The displayed values come from the execution’s export settings. If you include a date or time in the exported filename, that information will also appear in the filename and full name.

Troubleshooting

• Unexpected file information: Check that the inserted placeholder matches the export type and format configured for the execution.
• Unexpected folder or filename: Review the export location, filename, and date/time options in the wizard.
• Missing attachment: Check Attach File. Inserting file information into the body does not attach the report.
• Missing email: Review Enable Email Delivery, the selected email profile, recipient, and Scheduler logs.
