Article Goal
Learn how the Report Default Retention setting controls how long completed reports are retained in WebReports.
What is Report Default Retention?
The Report Default Retention setting determines the default number of days that completed reports remain available within WebReports before they are automatically removed.
This setting applies to reports stored on the Completed page and helps manage report storage and retention across the application.
Why Use Report Default Retention?
Over time, completed reports can consume storage space and increase maintenance requirements.
The Report Default Retention setting helps administrators:
- Manage report storage growth
- Automatically remove outdated reports
- Control how long report output remains available to users
- Maintain a consistent retention policy across the environment
Accessing the Setting
- Sign in to WebReports with an account that has administrative permissions.
- Select Management.
- Click Configuration.
- Locate Report Default Retention within the Reports Options section.
Configuring Report Retention
Enter the number of days that completed reports should remain available.
Examples:
| Value | Result |
|---|---|
| 1 | Completed reports are retained for 1 day. |
| 7 | Completed reports are retained for 7 days. |
| 30 | Completed reports are retained for 30 days. |
| 90 | Completed reports are retained for 90 days. |
Once the retention period is exceeded, completed reports are automatically removed from WebReports.
Understanding Report Expiration
When a report is executed, WebReports calculates an expiration date based on the Report Default Retention setting.
The expiration date can be viewed on the Completed page and indicates when the report will be removed.
For more information, see Working with Completed Reports in WebReports.
Best Practices
- Use shorter retention periods in environments with high report volume.
- Use longer retention periods when users need access to historical report output.
- Periodically review retention settings to ensure they align with business requirements and storage capacity.
- Consider report retention requirements before reducing the retention period.
Note: Reducing the retention value may cause completed reports to be removed sooner than expected.
