Common Email Provider Settings

Use this reference to obtain the server and authentication details for email-related features in VDM. Start with the sending method you need, then follow Creating and Configuring Email Profiles to enter, test, and save the profile.

Choose the settings for your task

• SMTP sends report emails and notifications. It uses an outgoing server and the authentication method accepted by that account.
• Microsoft Graph is available in VDM for unattended sending through a Microsoft 365 organizational mailbox. It uses an Entra application and mailbox details instead of SMTP server settings.
• IMAP or POP3 settings apply only to a feature that receives or reads email, such as an Email Auto Scheduler Job. They are not required to configure an outgoing Email Profile.

Confirm account compatibility: a correct hostname and port do not establish that the provider accepts the login method available in VDM. Account type, administrator policy, plan, region, and authentication requirements can affect access.

Outgoing SMTP settings

Use the provider's approved secure port and connection mode. 465 with implicit SSL/TLS and 587 with STARTTLS are different connection modes; do not treat the port numbers as interchangeable. Match the server, port, and VDM security setting with your administrator's instructions.

Authentication notes

Gmail

For an application that uses username/password rather than Sign in with Google, an app password may be needed and must be permitted for the account. Google requires 2-Step Verification to create an app password, and some managed or protected accounts do not offer it. See Google's app-password instructions.

Microsoft 365 organizational accounts

For unattended VDM delivery, configure Microsoft Graph with your administrator using the Email Profiles guide. If you use SMTP, the administrator must confirm that SMTP AUTH and the required authentication method are allowed for the organization and sending mailbox. Microsoft is changing support for SMTP basic authentication, so a working username and password alone are not a long-term compatibility guarantee. See Microsoft's SMTP AUTH guidance.

Personal Outlook.com accounts

These accounts have different SMTP settings from Microsoft 365 organizational accounts. Microsoft requires OAuth2 / Modern Authentication. The SMTP form shown in VDM's Email Profiles guide uses User Name and Password; entering the Outlook.com hostname does not add an OAuth sign-in flow. Confirm a supported connection method with BridgeWorks before choosing a personal Outlook.com account. The unattended organizational Graph setup in the guide should not be assumed to apply to a personal account.

Yahoo Mail

Use the account's supported third-party authentication method. A generated app password is required for apps that use Yahoo's documented username/password setup; see the linked provider instructions.

Apple iCloud Mail

For manual setup, use an app-specific password and the full iCloud email address for SMTP authentication. iCloud supports IMAP and SMTP; it does not support POP.

AOL Mail

Confirm AOL's current third-party app requirements. An app password may be required for an application that uses username/password authentication.

Zoho Mail

Use the exact server configuration shown in your Zoho account. Personal/free organization and paid organization server names can differ, as can regional endpoints. An application-specific password may be needed with two-factor authentication. Incoming-mail access also depends on your plan and account settings.

Custom or private domain

Get the settings for the actual mail host from your administrator. A custom email domain can be hosted by Microsoft 365, Google, Zoho, or another service; its SMTP hostname is not necessarily mail.yourdomain.com.

Incoming mail reference

Use this section only when configuring a VDM feature that receives email. The table lists common endpoints; account access and a compatible authentication method are still required.

Outlook.com requires modern authentication, and POP/IMAP access is disabled by default. Microsoft 365 access is subject to the organization's policy. For Zoho, check the current plan and server details in your account; see Zoho IMAP settings and Zoho POP settings.

Test and troubleshoot

1. Confirm that you selected the correct provider and account type.
2. Check the hostname, secure port, connection mode, and authentication requirements together.
3. Check that the From address or Sender Mailbox is permitted for the sending account/application.
4. For SMTP or Graph Email Profiles, use Send Test Email and confirm receipt, then save the .vdmem profile.
5. If a scheduled job fails after a successful test, check its selected profile, recipients, and access from the computer or service running the job.
