Create a reusable Email Profile to send VDM report emails and job notifications using SMTP or Microsoft Graph. This guide takes you from opening the setup screen through testing, saving, and selecting the profile in a job.
Before you begin
- Obtain the sending account and connection details from your email administrator.
- For SMTP, have the server, port, security requirements, and supported login credentials available. See Common Email Provider Settings.
- For Microsoft Graph, have the Tenant ID, Client ID, client secret value, and sender mailbox for your organization's unattended application available.
- Decide who should receive test messages and the profile's default notifications.
1. Open Email Profile Setup
- Open Settings at the bottom of VDM.
- Select Profiles in the left navigation.
- Select Email at the bottom of the Profiles area.
- To edit a saved profile, use Open on the Home ribbon and select the existing
.vdmemfile. Otherwise, configure a new profile in the form. - Select SMTP or Microsoft Graph from Delivery Method.
MCP appears separately under Settings. Email setup remains under Profiles → Email.
Current Email Profile Setup with demo connection names and blank credential fields. Open an image in a new tab to view its details at full size.
2. Configure SMTP, if selected
Select SMTP and complete the fields below using the settings approved for your sending account.
| Field | What to enter |
|---|---|
| SMTP Server | The outgoing mail server hostname. |
| Port | The port supplied by your provider or administrator. |
| Enable SSL | The secure connection setting required for that server and port. Match the provider's SSL/TLS requirements. |
| User Name | The SMTP login, often the full email address. |
| Password | The SMTP credential accepted by your provider. Use an app password when required and permitted by the account. |
| To | One or more test and default recipient addresses. Press Enter or type a semicolon (;) after each address to add it. |
| From | The sender email address. The sending account must be permitted to use this address. |
A working server name and port do not guarantee that an account will accept username/password authentication. For Microsoft 365 organizational mailboxes, consider the Microsoft Graph setup below with your administrator.
3. Configure Microsoft Graph, if selected
Select Microsoft Graph. VDM's current setup uses an unattended Microsoft Entra application and specifies these Microsoft Graph Application permissions: Mail.Send and Mail.ReadWrite. Have your administrator configure and approve the application for the intended sender mailbox.
| Field | What to enter |
|---|---|
| Tenant ID | The Microsoft Entra directory/tenant ID for the application. |
| Client ID | The application's client ID. |
| Client Secret | The application's client secret value supplied by your administrator. |
| To | One or more test and default recipient addresses. Press Enter or type a semicolon (;) after each address. |
| Sender Mailbox | The organizational mailbox the application is authorized to send from. |
The client secret is an application credential, separate from a mailbox password. Track its expiration with your administrator so scheduled delivery can continue when it is renewed.
4. Test and save the profile
- Check the addresses in To; the test sends a real message to those recipients.
- Select Send Test Email and review the result. Confirm that the message arrives at the intended mailbox.
- Select Save on the Home ribbon.
- Choose the appropriate email-profile folder, enter a descriptive filename such as
DemoReportDelivery.vdmem, and save it as Email Profiles (*.vdmem). - When editing an existing profile, save the changes to the intended file. Use Save As when you need a separate profile.
Email profiles commonly reside in Documents → BridgeWorks VDM → Profiles → Email; your configured folder location may differ. Testing alone does not replace saving the profile.
5. Use the saved profile in a job
Select the saved Email Profile in the relevant job delivery or notification setting. The profile supplies the transport and sender information.
| Email purpose | Where recipients come from |
|---|---|
| Test email | The profile's To addresses. |
| Success or failure notifications | The default recipients in the selected success/failure Email Profile. |
| Execution attachment delivery | The execution's delivery recipients, with profile defaults used when applicable. |
| Master job email | The job's explicit To or CC recipients; enter these in the job rather than relying on profile defaults. |
For the job setup, see Creating a Job in VDM. Verify the job's intended recipients and output separately from the profile test.
Using Email Profiles with MCP
Create, test, and save the profile in VDM first. When Scheduler sharing is enabled for an assistant, MCP can discover and select existing profiles while preparing a job. MCP job setup does not create email profiles, expose their credentials, or send test email. If you change a profile after sharing starts, restart MCP sharing so the assistant receives the updated profile information.
If the test or job email fails
SMTP
Check the server, port, Enable SSL setting, login credential, permitted From address, and the account's authentication policy. Confirm that the computer running the job can reach the mail server.
Microsoft Graph
Check the Tenant ID, Client ID, secret value and expiration, Application permissions and administrator consent, and the application's access to the Sender Mailbox.
If a test works but a scheduled job fails, confirm that the job uses the intended saved profile, recipient settings, and profile location available to its runner. Contact BridgeWorks Support with the exact error and your VDM version. Exclude passwords and client secrets from screenshots or messages.
