Accessing Scheduled Reports
Navigate to:
Schedule
The Scheduler calendar displays all scheduled report appointments.
Viewing Scheduled Reports
Scheduled reports appear on the Scheduler calendar based on their configured execution date and time.
Users can:
- Review scheduled appointments
- Navigate between date ranges
- Locate upcoming report executions
- Review previously scheduled appointments
- Open appointment details
The date navigation controls located at the top of the Scheduler can be used to move forward or backward through the schedule calendar.
The currently displayed date range is shown next to the navigation controls.
Changing the Calendar View
The Scheduler supports multiple calendar views to help users review scheduled appointments.
Available views include:
- Day
- Week
- Month
- Agenda
Select the view dropdown in the upper-right corner of the Scheduler to switch between available calendar views.
Different views can help users:
- Review daily activity
- Monitor weekly schedules
- Identify monthly scheduling patterns
- Review appointments in a list format using Agenda view
Viewing Appointment Details
To review a scheduled report:
- Open the Scheduler.
- Locate the scheduled appointment.
- Double-click the appointment.
The appointment details window displays:
- Subject
- Start Date and Time
- End Date and Time
- Recurrence settings
- Description
- Notification recipients
- Assigned report
- Assigned action
Replacing a Scheduled Report
Scheduled report appointments cannot be modified after they have been created.
To make changes to an existing scheduled report:
- Review the existing appointment details.
- Delete the scheduled appointment.
- Create a new scheduled report with the desired configuration.
This ensures the new schedule, report assignment, parameters, and notification settings are applied correctly.
Note: Because scheduled reports cannot be modified after creation, any required changes must be made by deleting the existing appointment and creating a new one.
Deleting a Scheduled Report
Unused appointments should be removed to keep the Scheduler organized and efficient.
To delete a scheduled report:
- Locate the appointment on the Scheduler calendar.
- Single-click the appointment.
- Select the delete option.
Warning: Scheduled report deletions take effect immediately. WebReports does not display a confirmation prompt before deleting the appointment.
If a scheduled report needs to be retained, review the appointment carefully before selecting the delete option.
Best Practices
- Review scheduled reports periodically.
- Remove unused appointments.
- Use descriptive appointment names.
- Verify notification recipients remain current.
- Confirm report assignments remain valid.
- If schedule changes are required, delete and recreate the appointment using the updated settings.
