This guide provides an overview of the initial tasks administrators complete to make reports available to WebReports users.
Each section summarizes a stage of the setup process and links to the related documentation for detailed instructions.
Before you begin
Confirm that you have:
- A WebReports administrator account.
- Access to the WebReports site.
- Access to VDM.
- The connection information for the reporting data source.
- Reports or views that are ready to publish.
1. Sign in to WebReports
Open your organization’s WebReports URL in a supported browser and sign in with your administrator account.
The Admin role provides access to the configuration and management features needed to set up connections, users, roles, and reports.
2. Configure a connection profile
A connection profile allows WebReports to communicate with the database or data source used by published reports.
To configure a connection:
- Select Configuration from the navigation menu.
- Select Connections.
- Add a connection profile or select an existing profile.
- Enter the required connection information.
- Test the connection.
- Save the connection profile.
Verify that WebReports can connect successfully before publishing reports that use the connection.

3. Connect VDM to WebReports
Configure VDM to communicate with the WebReports environment.
The connection information in VDM must correspond to the WebReports environment where the reports will be published.

4. Publish reports from VDM
After VDM is connected to WebReports, publish the required reports or views.
Before publishing, confirm that:
- The report uses the correct connection.
- The report name and description are appropriate for WebReports users.
- Required parameters and prompts are configured.
- The report runs successfully in VDM.

5. Assign reports to roles
Publishing a report does not automatically make it available to every user. Report access is controlled through roles.
To assign a report to a role:
- Select Management from the navigation menu.
- Select Roles.
- Select the role that should receive access.
- Add the appropriate report.
- Save the changes.
Only assign reports that members of the role are authorized to access.

6. Create users and assign roles
Create an account for each user who needs access to WebReports, and assign the roles appropriate for that user’s responsibilities.
To manage a user:
- Select Management from the navigation menu.
- Select Users.
- Add a user or select an existing user.
- Assign the appropriate roles.
- Save the changes.
Users assigned multiple roles receive the combined permissions and report access provided by those roles.

7. Test the user experience
After configuring the connection, publishing reports, and assigning access, test the setup using an account with the same roles as the intended user.
Confirm that the user can:
- Sign in successfully.
- See the expected reports.
- Enter or select report parameters.
- Execute and download permitted reports.
- Access only the features and reports allowed by the assigned roles.
If a report is unavailable, verify that it was published successfully, assigned to the correct role, and that the user has that role.
