This guide introduces the basic tasks users perform when getting started with WebReports, including activating an account, signing in, finding reports, running reports, and accessing completed results.
The features and reports available to you depend on your assigned roles and report access.
Before you begin
Confirm that you have:
- Your organization’s WebReports URL.
- An active WebReports account.
- The sign-in information supplied by your administrator or an account activation email.
- Access to the reports required for your work.
If you do not have this information, contact your WebReports administrator.
1. Activate your account
Depending on how your account was created, you may receive an activation email from WebReports.
To activate your account:
- Open the WebReports activation email.
- Select Activate and Set Your Account.
- Create and confirm your password.
- Continue to the WebReports sign-in page.
- Enter your email address and new password.
Complete the activation process before the invitation link expires.
Note: If you did not receive the activation email, check your junk or spam folder. Contact your WebReports administrator if you still cannot locate it or the activation link has expired.
2. Sign in to WebReports
If your administrator created your account and supplied your sign-in information:
- Open your organization’s WebReports URL in a supported browser.
- Enter your email address and password.
- Select Sign In.
The pages and actions available after signing in depend on the roles assigned to your account.
3. Find an available report
The Available Reports page displays the reports you are permitted to access.
To find a report:
- Select Reports from the navigation menu.
- Select Available.
- Locate the report you want to run.
- Use the available search, filtering, sorting, or grouping options when needed.
Available Reports can be displayed in Grid or Cards view.

If a report does not appear, confirm that you are viewing the correct page. Contact your WebReports administrator if you still cannot find it.

4. Run a report
The actions available for a report depend on its configuration and your assigned roles and permissions.
In Grid view, select the report and use the Run report menu. In Cards view, use the report’s Run menu.
Available options may include:
- Detail Grid — Runs the report and displays detailed results in a grid.
- Summary Grid — Runs the report and displays summarized results in a grid.
- Finished Report — Opens the formatted report viewer.
- Visualize — Opens the report results in Visualize.
- Download — Generates a file in the selected format and submits it for background processing.
- Queue — Submits the report for background processing without generating a downloadable file.
The report may ask you to enter or select parameter values before it runs.

Note: Not every action is available for every report or every user. Contact your WebReports administrator if you require an action that is not displayed.
5. Enter report parameters
Some reports require information such as a date range, location, department, or other selection before they can run.
When prompted:
- Enter or select the required parameter values.
- Review your selections.
- Run, queue, or download the report.
Required parameters must be completed before the report can be submitted.
6. Work with report results
Reports can display results in different ways depending on the selected output option.
Available result views may include:
- Detail Grid
- Summary Grid
- Finished Report
- Visualize
Depending on the selected view and your permissions, you may be able to:
- Review report results.
- Filter, sort, or group displayed data.
- Change column order or width.
- Download or export results.
- Return to Available Reports and run another report.

7. Access completed reports
Reports processed using Queue or Download are available from the Completed Reports page.
To access a completed report:
- Select Reports from the navigation menu.
- Select Completed.
- Locate the completed report.
- Select the checkbox beside the report.
- Use one of the available actions.
Depending on how the report was processed, available actions may include:
- Detail Grid
- Summary Grid
- Finished Report
- Visualize
- Download
- Parameters
- ReExecute
- Delete Selected
Completed reports and available actions in WebReports.
Completed reports remain available until their expiration date. The retention period is configured by your WebReports administrator.

8. Schedule reports
Users with the required permissions can create schedules that run reports automatically.
A schedule can define:
- Which report runs.
- When and how often it runs.
- Which parameter values are used.
- How the results are delivered.
Only reports available through your assigned roles can be scheduled.

Troubleshooting access
If you cannot access an expected report or feature:
- Confirm that you are signed in with the correct account.
- Confirm that you are viewing the correct WebReports page.
- Refresh the page and try again.
- Contact your WebReports administrator to verify your assigned roles and report access.
Your administrator controls which reports and WebReports features are available to your account.
